HS2 Ltd. will process the personal data that you provide to us in accordance with our Privacy Notice.
This notice aims to provide details regarding the specific purposes in which we are processing your personal data. Specifically, it relates to information we may collect about you through your use of the HS2 BIM Upskilling Platform.
You will need to explicitly mark that you have accepted this policy in order to use the BIM Upskilling Platform.
The BIM Upskilling Platform is a SAAS (‘Software As A Service’) learning management solution which is provided and hosted by Learning Pool Ltd., a supplier of HS2 Ltd.
Why are we processing your personal data?
We are processing your Personal Data so that we can:
- alert you by email of any issues on the Platform
- to alert you by email of changes to your user account or password
- to respond to your query or request
- to alert you by email of any new learning content available for you on the Platform
- to conduct HS2 BIM Upskilling Platform user analytics based on user type and user organisation
- recording information about your actions in the system activity logs
- to provide system support, for example, if we need to contact you to let you know about an urgent issue with the system, or if we are looking into a support issue which you are connected with.
- to investigate bugs and system improvements: for example, Learning Pool Ltd may analyse general activity (which may include yours) in the system logs to help understand common usage of the system, or to investigate if it is found find that certain actions in the system are performing more slowly than expected. This information may be recorded on development tickets within Learning Pool Ltd.’s internal systems for this purpose only, and only where it is relevant to the problem being investigated.
What data will we process?
- Your primary e-mail address - Without an email address we cannot provide you with your authentication information and reset passwords in a secure way, and you cannot receive notifications. Therefore, it is not possible for you to use the BIM Upskilling Platform without providing this personal data. Your primary email address will be visible to System Administrators only.
- If the primary email address registered in the system for you is incorrect, please contact a System Administrator to have it corrected at BIM.Upskilling@hs2.org.uk
- Your username (which may also contain personal information, such as your name) - Your username is used to uniquely identify you in the BIM Upskilling Platform. It is not possible to use the BIM Upskilling Platform without providing this information. Your username is visible to System Administrators only.
- Information about your activity in the system - Course activity & completion / Audit trail. One of the purposes of the system is that a record is kept of key events, such as when learning activities have been completed, when learning resources were accessed or when course and platform feedback is submitted. When you use the BIM Upskilling Platform, the actions that you carry out will be recorded. There is no way to opt out of this information being collected and your actions cannot later be removed from the audit trail. The audit trail is visible to the System Administrators only.
- IP address and logs of activity - We maintain logs of system activity for the purposes of making improvements and resolving support issues and bugs. As part of these logs we will collect your IP address and a log of any requests being made from your IP address to the BIM Upskilling Platform. This will include activities such as when you log in, what site pages you access and how you navigate around the system, which otherwise may not be recorded in the audit trail. Your IP address and the logs and are only visible to System Administrators only.
The information below is not required to use the BIM Upskilling Platform, so it is your choice whether you fill in this information. However, providing this information may help to receive relevant notifications and support. Once entered, this information is stored against your user account. This information can be changed or removed at any time on the "User Profile" page.
- Your full name - this will be visible to System Administrators only.
- Your organisation / role - this will be visible to system administrators only.
Non-personal information that Learning Pool Ltd. will store about you:
- Whenever users interact with the BIM Upskilling Platform, Learning Pool Ltd. collect non-personal information about them in the system activity logs. This information includes the browser name, the type of computer and technical information about users' means of connection, such as the operating system and the Internet service providers utilised and other similar information. This information is stored only in the system activity logs and is only visible to authorised individuals.
Cookies
When you visit this website via the internet, in order to assist you with your web browsing experience, especially when revisiting this website, the site will sometimes place a small amount of information on your device, such as your computer, laptop, tablet or mobile phone. These include small files known as ‘cookies’. They cannot be used to identify you personally.
These pieces of information are used to improve your web browsing experience by, for example:
- Enabling a service to recognise your device so you do not have to give the same information several times during tasks or browsing sessions;
- Recognising that you may already have given a username and password so you do not need to do it for every web page you visit; and
- Analysing anonymised data to allow us to understand how people interact with the website so we can make improvements and to assist us in developing the website in an informed way for our online users.
Is there a requirement to supply HS2 personal data?
You are under no obligation to provide your Personal Data. However, you will be unable to use the platform if you do not.
Will the personal data processing be subject to any form of automated decision making?
None of the Personal Data processing will be subject to any form of automated decision making.
Who do we disclose your personal data to?
We do not disclose your data outside of HS2 BIM Upskilling Platform administrators (employees of HS2 Ltd and Learning Pool Ltd).
Where do we process your personal data?
All of your Personal Data is processed within the UK.
How long will we be holding your personal data for?
We will hold your Personal Data for 2 years from the day of your last access to the BIM Upskilling Platform.
Your Rights:
You are afforded a number of rights regarding the way in which HS2 process data about you, which are as follows:
- the right to access a copy of your personal data held by, or on behalf, of HS2.
- the right to request HS2 to rectify, erase, or restrict the personal data we hold about you, (You can submit a request to delete your account and all related data by selecting the relevant request button in the User Profile on this site or by contacting a Platform Administrator at BIM.Upskilling@hs2.org.uk )
- the right to object to HS2 processing your personal data,
- the right to withdraw your consent allowing HS2 to processing your data at any time.
- the right to lodge a complaint with the Information Commissioner’s Office.
